The Analysis Phase

System Analysis is the second phase in developing, implementing and upgrading a clinical information system. It includes, two phases, the Fact Finding Phase, and the actual Systems Analysis phase.

During the Fact Finding Phase, all data requirements related to the problem defined in the project scope agreement are collected and analyzed to gain a sound understanding of the current system.

After that would be the actual Systems Analysis, where it is again broken up into 5 tasks, that is:
    1. Data Collection
    2. Data Analysis
    3. Data Review
    4. Benefits Identification
    5. System Proposal Development

First, data collection includes hardware, procedures, software, processing, output and intended reports. It involves the creation of workflow documents and functional design document.

Workflow documents assimilate the data collected into logical sequencing of tasks and subtasks performed by the end users for the goal or problem area. Functional design document on the other hand are overview statements of how the new system will work. It uses the workflow document as its basis in creating a new system, or upgrading a previously existing system

Data analysis meanwhile provides overview of the nursing problem and/or stated goal. It uses tools to analyze data such as data flowchart, grid chart, decision table, organizational chart and models.

Next is data review, where review data are gathered thru feasibility studies, workflow documents, and functional documents, and then provide recommendations.

The basis for measuring the success of the project is benefits identification.


Lastly, in system proposal development, a proposal is submitted to the project’s steering committee for review and approval, identifying the problems and/or goals and requirements for the new system’s overall design.
